About the Job Position Summary: The primary goal of this
position is to provide project and change management for projects of varying sizes and support project related tasks within Academic Support
Resources. The person in this role will guide each project from initiation through planning, execution, and closing. Projects can range from
technical implementations, to workflow and process development, to usability, and content development. This role delegates, allocates
resources, identifies risks, removes barriers, measures progress, and maintains accountability to ensure project
success and maintains
focus on a positive student experience. It's critical in this role to forge and maintain shared focus across all campuses and pull the right
levers to solve complex business problems in creative and innovative ways. Academic Support Resources supports hybrid and flexible working
arrangements. Work arrangements are determined in coordination with supervisors depending on the nature of the unit and position. The
arrangement for this position will be determined upon hire between employee and supervisor with unit director approval.
Job
Responsibilities: Project Management (70%) - Lead cross-functional project teams in a hybrid work
environment.
- Lead high and medium priority projects in Academic Support Resources.
- Maximize the project: identify, assess,
and act upon risks and opportunities, leverage conflicts to find creative solutions.
- Develop project structure:
* Ensure
project governance is developed, vetted, and implemented across all five University campuses as needed.
* Develop and maintain a formal
project charter as a reflection of current business needs.
* Ensure project scope and deliverables are clearly defined and technically
feasible. - Develop project schedule:
* Create and maintain project timelines and ensure necessary stakeholders are informed of
timeline changes.
* Set up project plans and prioritization methods to ensure the right work is being done and at the right time.
- Provide leadership to project teams and identify the right resources for the right tasks
* Assign tasks; track progress; ensure
resources are properly allocated to match project priorities.
* Assign tasks to project staff to ensure balance and avoid operational
team overload.
* Provide work assignments, work direction, work evaluation.
* Monitor that standards are being followed (e.g.
testing).
* Create a positive work environment for all project team members. - Diagnose critical problems.
- Maintain
project status and tracking for sponsors. Identify, evaluate, and escalate project risks and proposed solutions.
- Close project
fully; ensure transition to sustainable operations as seamlessly as possible.
Change Management (20%)
- Develop integrated Change Management strategy and process
* Develop leadership, team, and stakeholder assessments to
understand change readiness and current relationship dynamics amongst various groups.
* Design comprehensive, flexible Change Management
strategy based on assessment data.
* Develop project brand strategy; ensure alignment and dissemination of key messages.
* Develop and
execute two-way project communications tactics to maintain connections to the impacted stakeholders.
* Design and implement stakeholder
engagement tactics to help manage stakeholder expectations.
* Develop coaching, training, and coaching strategies to ensure that
technical products deliver a good return on investment and are used in appropriate ways.
* Develop special tactics as needed to address
resistance to change. - Manage relationships with partner projects and change managers, stakeholders, sponsors, system campus
leaders, and ASR Directors.
Strategic Planning (10%) - Evaluate project requests in accordance with ASR
objectives to define the value and benefits project portfolio processes
- Collaborate with a governance structure to evaluate,
authorize, and monitor projects as they pass through the project lifecycle.
- Cultivate strong relationships across ASR in order to
drive collaboration and alignment with key partners and stakeholders.
Qualifications Required
Qualifications: - BA/BS degree and 4 years of relevant work experience, or a Master's degree with 2 years of relevant work
experience OR an equivalent combination of relevant education and experience.
- Demonstrated project management experience leading
large-scale Information Technology projects.
- Working knowledge of Project Management tools such as Microsoft Project, Jira,
SmartSheets, Asana, ClickUp.
- Relevant knowledge of Project Management methodologies including Agile.
- Ability to interact
professionally with diverse groups, across disciplines, and with executives, managers, and subject matter experts.
Preferred Qualifications: - Hands on experience using large group methods to collect input and engagement
with stakeholders.
- Experience considering user needs in decision-making process.
- Strong analytical, organizational, and
problem-solving skills.
- Strong written and verbal communication skills.
