Clerical Administrative Assistant Location Fort Meade, FL : 1 CITY OF FORT MEADE CLERICAL ADMINISTRATIVE ASSISTANT Job Title: Clerical Administrative Assistant Department: City Wide Reporting Relationship: Department Director General Purpose: Under the general supervision of the Department Director, this position performs administrative duties within the various Departments; and other administrative duties as assigned. The Clerical Administrative Assistant must have a solid understanding of confidentiality, employee relationships, the recruiting process, training, and benefits administration. Essential Functions: 1. Answers calls, questions, provides information, and addresses complaints. 2. Schedules appointments and maintains calendars. 3. Schedules and coordinate staff and other meetings and events. 4. Prepares communications, such as memos, emails, invoices, reports, and other correspondence as needed. 5. Creates and maintains filing systems, both electronic and physical in accordance with policies and procedures. 6. Supports all internal and external related inquiries or requests. 7. Works independently or within a team on special nonrecurring and ongoing projects. 8. Assists with benefits administration and the completion of benefit documentation. 9. Assists with the recruitment process. 10. Maintains training calendars and schedules; assist in coordinating training sessions and seminars. 11. Assists with performance management procedures. 12. Schedules meetings, interviews, and HR events. 13. Performs onboarding orientations. 14. Completes termination paperwork and exit interviews. 2 CLERICAL ADMINISTRATIVE ASSISTANT (These essential job functions are not to be construed as a complete statement of all duties. Employees will be required to perform other job-related duties, as required.) Minimum Qualifications: Knowledge, Skills and Abilities:
- Knowledge of HR functions and best practices.
- Knowledge of safety precautions and programs.
- Ability to use email, MS Office and related business and communication tools.
- Ability to communicate effectively, both orally and written.
- Ability to work well under pressure and meet tight deadlines.
- Ability to use time management methods effectively.
- Ability to work independently or with minimal supervision.
- Ability to understand and follow directions effectively.
- Ability to operate office equipment including printers, copiers, fax machines and multimedia instruments.
Training and Experience: Associates Degree preferred, HR Certificate or three years of experience working in a human resources department; or an equivalent combination of training and experience. Must have direct experience working with Human Resources programs and activities. Familiarity with local government operations and policies.
