Job Description

Circulation Coordinator, University Libraries

This position oversees the circulation desk at the Charles Willard Coe Memorial Library during the afternoon/closing shift, assisting library users, training and supervising student workers, and helping to manage the course reserves collection.

Work Location: Chalon Campus (West Los Angeles)

Start Date: Immediately

Position Hourly Rate Range: $18.75- $21.00

Hiring salary can be above the posted pay range if candidate's qualifications are determined to be above the minimum requirements of the position description.

Duties and Responsibilities:

Circulation Desk Shift Supervision

  • Supervises the afternoon/closing shift of the circulation desk. Work hours are Sunday through Thursday, 8 hours per day until the library closes (typically 12:30 pm - 9:00 pm on Sunday and 1:30 pm - 10:00 pm Monday through Thursday). During finals, intercessions, summer, and holidays, the schedule is subject to change.
  • Provides customer service to students, faculty, staff and visitors, including answering questions, helping patrons locate or request materials, checking out books, responding to online/email inquiries, and processing interlibrary loan items. Assists with the Makerspace and study room reservations.

Course Reserves Collection

  • In collaboration with the Circulation and Reserves Coordinator at Doheny, keeps track of outdated/expired/missing items and requests purchase of replacements from Acquisitions.
  • Works with Technical Services to ensure new reserve materials are accurately processed in the catalog and ready to be shelved.
  • Maintains personal copy item processes including record keeping, physical item processing, on-the-fly record creation and returning items to owners.
  • Maintains and updates reserves usage report statistics.
  • Conducts reserves take-off process at the end of each semester.

Student Worker Supervision, Recruitment, and Training

  • Supervises library student workers to ensure all team projects, tasks and assignments are completed in a timely manner.
  • Helps update and maintain Access Services Policies and Procedures under the general direction of the Assistant Director of Access Services and Spaces.
  • Helps develop student worker training materials in collaboration with other Access Services staff.
  • Participates in student worker recruitment, training, and promotion processes.
  • Acts as a backup ADP timecard preparer and a temporary student worker scheduler.
  • Leads student worker participation in library engagement and programming activities.

Stacks Maintenance

  • Oversees stacks maintenance, including shelving, shelf reading and shifting, labels and signs, shelving, and missing item processes.
  • Maintains statistics for shelving, item searches and items declared missing.


Other Duties and Responsibilities:

  • Handles billing disputes as they arise.
  • Runs courtesy notes and overdue notices on a daily basis.
  • Answers customer email inquiries sent to the department shared email account.
  • Works as a part of the public announcement process rotation for voicemail greeting updates, MSMU Portal e-Poster submission and print poster creation.
  • Works closely with the rest of the team to ensure sufficient staff coverage for open hours.
  • Schedule is subject to change due to changes in the libraries' opening hours, staffing situations or business needs
  • Performs other duties as assigned.



Job Requirements:

Knowledge:

  • Working knowledge of library systems such as Alma/Primo
  • Working knowledge of Microsoft 365 office applications, including Excel, Teams, and PowerPoint


Abilities and Skills:

  • Demonstrated excellence in providing high-quality customer service
  • Strong technology skills and the ability to adopt new technologies quickly and effectively
  • Demonstrated evidence of excellent verbal, written, and interpersonal communication skills
  • Ability to write out procedures and training documents in clear, concise language
  • Dependable and punctual
  • Ability to collect and summarize raw data (e.g., library building use statistics, circulation reports) and create reports
  • Ability to manage multiple projects in a complex working environment
  • Ability to speak Spanish is preferred


Education:

  • Bachelor's Degree, or close to completion.


Experience:

  • Two years of experience working in a library, preferably in circulation/access services

  • Experience working with a diverse community

  • Experience managing course reserves in an academic library

  • Experience supervising student workers

  • Experience planning and executing library outreach programs
